Xerox Announces DocuShare 5.0 New Xerox DocuShare Software Helps Customers with Regulatory Compliance, Document Lifecycle Management, Collaboration; Easy, Affordable Enterprise Content Management Solution Improves Business Efficiency NEW YORK (Business Wire) September 14, 2004 To help document-intensive organizations boost business efficiency and manage stringent requirements for regulatory compliance, Xerox Corporation (NYSE: XRX) today unveiled DocuShare® 5.0, the latest version of its secure, Web-based enterprise content management software. ECM systems allow organizations to capture, create, review, approve, manage and publish many types of content across the enterprise, helping them gain control of critical information that drives their businesses. "Organizational risk, driven by compliance, is currently the greatest driver and cost-justifier for acquiring content management solutions, closely followed by the need for time-to-market efficiency and customer service," said Andy Warzecha, senior vice president at META Group, a leading provider of IT research, advisory services and strategic counseling. DocuShare 5.0 offers a range of collaboration and usability enhancements right out of the box at an affordable price, as well as makes available three new modules for records management, archiving, and e-mail messaging - all designed to improve accountability and teamwork while saving time, money and resources. DocuShare 5.0 delivers new content management tools that allow people to more effectively work in teams and easily publish to intranets, extranets, and public Web sites. The new My DocuShare personalized home page allows office workers to view and manage personal project pages, collections, documents, tasks, team calendars, work spaces, and threaded discussions all from a single portal-like page. DocuShare 5.0 can be integrated with Xerox FreeFlow SMARTsend™, a Web-based, integrated scanning application also announced today that combines features from CentreWare™ Scan Services and FlowPort™ software. This integration delivers an end-to-end document lifecycle management solution, spanning from document image capture to archiving, from a single vendor -- one not offered by competitive ECM solutions. DocuShare 5.0 also integrates with other imaging solutions, including Kofax Ascent Capture, ScanSoft PaperPort, and Omtool AccuRoute, to give customers multiple scanning solutions depending on their requirements. With DocuShare 5.0, people get advanced routing capabilities out of the box, allowing even novice users to build complex document processes without programming expertise. Plus, through integration with Verity's K2D search engine, DocuShare 5.0 offers improved search filtering and sorting to generate faster, more relevant searches. The management functionality in DocuShare 5.0 addresses security and compliance issues with frequently reviewed content such as HTML pages, policies, CAD files, and legal contracts. People can define a specific version of a document as "preferred" to ensure ongoing access of that content for authorized users, while simultaneous editing or reviewing is taking place on other versions. The three new optional software modules for DocuShare 5.0 are: DocuShare Records Manager Module - Enables users to classify, declare and manage content as records, addressing their regulatory compliance issues and reducing legal risk. DocuShare Records Manager is based on IBM DB2 Records Manager, recognized as a leader in compliance and records management. DocuShare E-Mail Agent Module - Improves compliance and collaboration by allowing people to e-mail content - such as collaborative discussions, invoices or document versions - to one or more locations in DocuShare. The e-mail module can be used with digital signatures for tight security when sending e-mails from remote locations or third-party organizations. DocuShare Archive Server Module - Users or site administrators can move content to a DocuShare Archive server to meet compliance requirements, implement disaster avoidance, or to optimize system performance. The Archive server also allows organizations to add document capacity as needed. When deployed with the High-Capacity Kit, DocuShare 5.0 offers new support for organizations that require disaster recovery or high availability capabilities by ensuring mission-critical content remains accessible.
