When Luke Saville, Sales Manager, decided to look for more space, Fuji Xerox Australia had the answer. Saville and his team now have almost 7000 client files scanned and stored digitally thanks to DocuShare, PaperPort and a Xerox Document Centre 250. Saville, his father, Mark, and their 20 employees manufacture cable harnesses and wiring looms for telecommunications companies, including Australian Defence Department, Optus, Fujitsu, SCI and NEC. Customer orders are received by Saville as hardcopy via the fax machine or post which have built up into a mountain of paper documents containing information and drawings, which need to be stored yet available for future orders. “The customers either call and ask for a repeat order or fax a drawing of a cable assembly and I send them a quote for the job. Once the quote has been accepted, I scan the drawing into DocuShare and create an item number for the job,” explained Saville. “If I need to review the drawing and related specifications at any time, I just go into DocuShare, call up the item number and it appears on my screen. I can then add instructions or details as I need.” As Xerox DocuShare is a community maintained, web-based, document management system, also capable of document archiving, management and scanning, Saville was able to use his standard Web Browser to post, change, search for and retrieve information. “The products that we create are unique to the ordering company. Before we had DocuShare we had filing cabinets holding over 6000 drawings, all stored by item number. Imagine how much room that required,” said Saville. “With DocuShare, a drawing can be scanned and, when the company re-orders the same product years later, we can immediately retrieve the original drawings without having to search through years of archived documents. I can work from my desktop because all of the relevant information is on the screen in front of me straight away,” explained Saville. Saville admits that, despite the technology, he prefers to print off a hardcopy drawing for the final proof so he also bought a Xerox Document Centre 250 as his old fax/printer had all but given up. “Any company that needs efficient document management would benefit from DocuShare,” said Saville. “It’s so easy, you scan the documents in and there’s no waiting time, you just do it. And with a print/copy speed of 25ipm and fax speed of 56ipm, no-one has to wait long for the documents to be transported. The PaperPort software enables the users to pick up scanned documents so they can be edited, filed, e-mailed or opened directly in the necessary application directly from the desktop. “When Fuji Xerox Australia installed the machine and the software, our secretary went through the initial training,” said Saville. “ She then taught everyone else in the office.
